The Role

 

We're looking for an organized, personable, and reliable individual to join our team as **Lead Administrator** for the 2026/27 season and beyond. This is a part-time, paid position that plays a key behind-the-scenes (and sometimes front-of-scenes!) role in keeping HVHA running smoothly.

 

If you've been around the community hockey;  whether as a parent, player, coach, or volunteer,  you already know how much coordination goes into making a season come together. This role is at the heart of that effort.

What You'll Be Doing

 

Event Coordination & On-Site Presence

  • Attend Junior House League events (practices, games, tournaments) during season start-up (typically Saturday mornings in late September to Mid October) and periodically throughout the season to connect with coaches, parents, and volunteers and ensure things are running smoothly

  • Coordinate and manage broader HVHA events from an off-ice perspective including skills sessions, goalie sessions, the HV Swap, community events (e.g., Marlies Day), and other association activities as they arise

 

Volunteer & Game Day Oversight

  • Oversee game day coordinators and volunteer programming across the association for the Junior House League division (10+ volunteers/managers)

  • Serve as a point of contact and support for Junior HL volunteers throughout the season

 

Equipment Management

  • Monitor and track all equipment-related activities including but not limited to:

  • Jersey distribution (Junior House League & CDP)

  • Goalie equipment inventory and distribution

  • Other HVHA game and coaching-related equipment

 

TeamSnap Administration

  • Manage the set-up of Junior House League teams in TeamSnap each September

  • Provide ongoing maintenance and updates throughout the season

 

Financial Tracking Support

  • Assist with basic financial tracking (e.g. capturing hours/costs for events to faciliate invoicing)

 

Ad Hoc Support

  • Take on additional tasks and projects as needed in support of various HVHA program leads

Time Commitment

 

This is a **part-time paid position** with an estimated commitment of **2–10 hours per week**, depending on the time of season. The season runs from **September through May**, with activity levels peaking during start-up in September and around key events. Some evening and weekend availability will be required for game days and events.

What We're Looking For

 

The ideal candidate will bring:

  • Experience in the hockey community — whether as a parent, volunteer, player, or coach - experience/background with Humber Valley is not a requirement

  • A friendly, approachable personality and comfort interacting with parents, coaches, and volunteers

  • Strong organizational skills and attention to detail

  • Familiarity with (or willingness to learn) TeamSnap

  • Basic comfort with common technology tools (email, documents, etc.)

  • Reliable personal transportation to attend events at various locations

  • A collaborative, team-oriented mindset and a genuine passion for community hockey

Requirements

 

  • Successful completion of a Vulnerable Sector Check (required prior to starting)

  • Must have access to personal transportation

  • Availability for evenings and weekends as needed during the season

Start Date

 

The successful candidate will begin prior to the 2026/27 season (ideally by late summer 2026) to allow for onboarding ahead of the September start-up.
